Executive Assistant, Chief Operating Officer P&L Businesses

Tremendous opportunity for dynamic Executive Assistant with proven experience in high-profile C-Suite support position.

This position provides administrative and professional support to the office of the Chief Operating Officer, ensuring the most efficient use of the COO’s time; anticipating, initiating, coordination and follow-thru on all activities of the office and leading various programs and projects. The position also provides administrative and professional support and coordination for internal and external functions and ensures effectiveness for the department senior leadership, while representing the National Restaurant Association and COO’s office in a highly professional manner.

Ideal candidates have 6-8 years corporate administrative support experience, are tech-savvy, forward-thinking and bring strong business acumen. Must have exceptional organizational, priority-setting and communications skills; bring laser-focused attention to detail and work with high degree of integrity, confidentiality and diplomacy. Previous experience working within multi-national operating environment and knowledge of M &A’s, highly desirable. Position requires extensive experience with complex travel coordination, expense reporting and reconciliation.


  • Coordinate all activities of the COO’s office providing administrative, project management, computer/ clerical support to the COO in the management of the office and activities. Activities include but are not limited to: research; troubleshooting responsibility; customer service; screening all mail and telephone calls; logistics activity; presentation development; proof reading; calendar management; meeting coordination; travel arrangements and daily itineraries; expense reimbursements; invoice processing; letter composition; creation and editing documents in all Microsoft office programs; monitoring and posting social media, plus additional support as necessary.
  • Provide administrative/clerical assistance as needed to team’s senior leaders including but not limited to: travel arrangements, database maintenance; research; logistics activity; presentation development; proof reading, create and edit documents in all Microsoft office programs, plus additional support as needed.
  • Under direction of other COO business executives (as assigned), responsible for project development, coordination, execution and management of new and existing programs and projects for various meetings and programs as needed.
  • Management of small to medium sized project initiatives, as assigned.  Ability to manage multiple projects from the conceptual stage through implementation. Work with all internal and external resources to manage project initiatives and deliverables. Identify project timelines, milestones, track progress, and ensure deadlines are met.
  • Responsible for overall office functions, administration, account reconciliation and coordination.
  • Provide limited finance and accounting support in connection with the Association budget.
  • Develop, organize and implement administrative processes and systems to ensure the smooth flow of office operations (office hours, time sheet approval, expense report review etc.)  Provide solutions to problems and improve efficiency and quality of departmental administrative activities.
  • Respond to key stakeholders in releasing information pertaining to departmental procedures, policies and actions taken by the department when appropriate; refer inquiries and needs to appropriate person as required.
  • Produce and coordinate written and visual materials for Board meetings, conferences/symposiums, and specialized issue packets/progress reports for distribution to Board members, Association members and staff. Coordinate with Products/Services and Convention team members to ensure all of the latest information is included.
  • Responsible for the creation of weekly President & CEO report.
  • Other duties as assigned and flexible schedule necessary as business needs require.


  •   2-4 year College degree preferred.
  • 6 - 8 years of Executive Assistance experience.
  • Professional poise in attitude and presentation.
  • Highly effective organizational, problem-solving, priority-setting and time management skills.
  • Experience with and understanding of office systems and operations that will improve organizational efficiency.
  • Experience managing expense reporting including use of Concur software.
  • Computer proficiency across MS Office Suite including Excel, Word, PowerPoint, Outlook, Adobe Acrobat. Experience with Webex and video conferencing platforms.
  • Excellent communication skills, both oral and written; demonstrate clear and concise business communication skills and solid math acumen.
  • Strong technology skills; ability to learn new computer software programs, and enter and maintain accurate data/information.
  • Genuine interest in providing the space and support for COO to achieve high levels of effectiveness and efficiency.
  • Ability to effectively support multiple executives.
  • Thrive in fast-paced business environment.
  • Effectively manage multiple projects and deadlines with minimal supervision identifying mission critical from the non-strategic.
  • Sound business judgement; ability to makes decisions for tough problems with limited guidance from supervisor.
  • Engaged and literate in social media applications.

  • Ability to show discretion and protect confidential information. Possess strong work ethic and high degree of integrity.
